Which pension documents should I collect?

First pass

Build the timeline before building the folder.

The useful record set depends on the countries, employers and pension arrangements in your career. Start with one line for each work period. Add the country, employer, dates and any state, workplace or personal pension connected to that period.

This is a planning checklist, not a universal legal list. An institution or scheme manager may ask for different evidence when you make a formal request or claim.

Pillar 1

State or statutory pension records.

  • An official insurance or contribution-period statement
  • An official pension estimate, if available and appropriate for your stage
  • Letters confirming corrections or recognized periods
  • Evidence for work, study or other periods that the official record does not show

Pillar 2

Workplace or occupational pension records.

  • An individual benefit statement or statement of acquired rights
  • The name of the pension scheme manager or provider
  • The employer and period linked to the scheme
  • A policy, plan, affiliate or contract number if one is shown
  • Any letter explaining what happened to the rights after leaving the employer

Document names vary by provider and country. Keep the original title and the source of the record visible rather than renaming every file as simply ‘pension’.

Pillar 3

Personal pension and retirement contracts.

  • The current contract or policy schedule
  • The latest annual or value statement
  • Provider and contract contact details
  • Beneficiary information where the contract makes it relevant
  • Any payout, transfer or maturity conditions shown by the provider

Do not treat a personal contract value as the same thing as monthly pension income. Keep the provider's wording and units with the record.

International career

Keep each country's evidence attached to the right period.

Repeat the same three-part check for every country where you worked: state record, workplace record and personal contracts. Store the original-language document when that is the official version, and note which institution issued it.

A cross-border picture should connect records without flattening different national systems into one assumption. Country coverage and procedures need to be verified system by system.

Gaps

When a document or period is missing.

    Check the official record

    Confirm whether the period is truly absent or only shown under a different employer, scheme or date range.

  2. 02

    Identify the record holder

    Use official portals, old letters, payslips or employer records to identify the institution or manager.

  3. 03

    Ask for the correction route

    Contact the institution that owns the record and ask which evidence it accepts.

  4. 04

    Keep the response

    Store the correction letter or case reference with the original gap.
